Setting Availability for Specific Calendars
In GrowthMap™, you can save time by allowing prospects or clients to book appointments at their convenience through one of your self-booking calendar links or with AVA, your Ai Sales assistant.
This strategy is a known conversion booster that can help turn more of your leads into sales, increasing conversions and revenue.
But before you can share a calendar link for client to pick a time that works for them, or before you unleash AVA to help you book more sales calls, we need to make sure your availability is set accurately.
Which settings impact my availability in GrowthMap™ calendars?
Availability for booking appointments are impacted by the following:
- At the calendar level: Calendars → Calendar Settings → Edit → Availability
- At the user level: Settings → My Profile → User Availability
- Connected Calendars: GrowthMap™ can check your Google or iCal for appointments created outside of GrowthMap™ to check for conflicts and display those external meetings in the app
Admins also have the ability to set the User Availability for their team under Settings → My Staff
Setting Calendar Availability
- Configure calendar settings to reflect availability, such as specific time slots for different days
- Adjust availability within the calendar to ensure accurate booking options
Individual Team Member Availability
- Each team member needs to set their availability under Settings → My Profile
- Set default meeting locations, time zones, and working hours to sync with the calendar availability
- Changes in individual availability directly impact the available slots on the calendar
Connected Calendars
- Learn how to connect external calendars like iCal or Google Calendar to your GrowthMap™ account
- Connected calendars prevent double bookings by syncing personal or work schedules with GrowthMap™ availability
By managing Calendar Settings, team member availability, and connected calendars, you can streamline the booking process and ensure accurate scheduling within GrowthMap™.
Managing availability on calendars with multiple team members
Adding Multiple Team Members to Calendar
To increase availability, additional team members can be added to certain calendars (i.e. Round Robin, Service, etc...)
Team members can be assigned priority levels (high, medium, low) for automatic routing and assigning those appointments. Or, if you prefer to distribute appointments equally, simply select Equal Distribution when configuring your calendar.
Setting Individual Availability
Users can set their default availability under Settings → My Profile. Additionally, Admins can set individual availability for team members under Settings → My Staff.
Availability includes setting working hours for each day, specifying time zones, and weekly days off.
The individual User Availability impacts the overall available time slots on any GrowthMap™ booking calendar. While Users can always manually schedule new appointments regardless of availability, accurate availability is required within each calendar if you want contacts to be able to self-book and/or if you are using AVA (Ai Sales Assistant) to book appointments for you.
System Logic for Availability
- GrowthMap™ first considers the availability configured within a given calendar
- It then checks the availability of team members assigned to the calendar
- Lastly, any conflicts with connected external calendars are taken into account
Steps 1-3 above happen automatically and instantaneously to determine available times offered on your booking calendar links and by AVA.
Connecting External Calendars
As an added step, many users connect their external calendar (i.e. Google Calendar or iCal) to sync with GrowthMap™ and check for conflicts.
